1. About this policy

Aesthetic Equipment Australia Pty Ltd ABN 32 682 401 814 (we, us, our) supplies professional aesthetic and electrolysis equipment, clinic furniture, consumables and training to clinics and practitioners in Australia and New Zealand. This policy applies to this website, our online store, our phone and email enquiries, our training programs and the trade events we attend. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles.

2. Dealing with us anonymously

You can browse this website, read our blog and make a general enquiry without telling us who you are. For a quote, an order, a warranty repair, finance or a training place we will need your details, because we cannot provide those things to someone we cannot identify or contact.

3. What we collect

  • Identity and contact details. Your name, the clinic or business you work for, your role, email address, phone number, postal and delivery addresses, and your ABN.
  • Account details. If you create an account on this website, your login details, saved addresses and order preferences. Passwords are stored in encrypted form and we cannot see them.
  • Enquiry details. The devices you have asked about, the treatments you offer, your timing, and notes our team makes when we speak with you.
  • Order and account history. Purchase history, items left in your cart, delivery instructions, serial numbers of devices installed at your site, warranty registrations, and service or repair records.
  • Payment details. Records of payments and refunds. Card payments are processed by our payment provider and we do not store full card numbers. We may hold bank details where you pay by transfer or we owe you a refund.
  • Finance referral details. What you give us when you ask to be introduced to an equipment finance provider.
  • Training details. Course registrations, attendance, assessment outcomes and certificates issued.
  • Marketing preferences. Whether you have subscribed, what you have opened or clicked, and the topics you have told us interest you.
  • Website and device information. Your IP address, browser and device type, the pages you visit, the products you view, how you arrived at our site, and identifiers stored in cookies.
  • Records of our dealings. Emails, contact form submissions, social media messages, and notes of phone calls and meetings.
  • Trade event details. Business cards you hand us and information from badge scans at exhibitions.

We do not collect sensitive information such as health information, and we ask that you do not send it to us.

4. How we collect it

Usually directly from you: a form on this website, an order, an email or call, a training registration, a conversation at a trade event, or a newsletter sign-up. Sometimes from someone else, such as a colleague ordering on your behalf, a person who refers you, an event organiser providing badge scan data, a finance provider, or a public source such as your clinic website or a business register. Where we collect your information from someone other than you, we take reasonable steps to let you know unless you would already expect us to hold it. We also collect technical information automatically when you use this website, as described in clause 9.

5. Why we use it

We use personal information to answer your enquiries and prepare quotes; process and deliver orders and manage your account; provide warranty support, servicing, repairs and spare parts; arrange and deliver training and issue certificates; introduce you to an equipment finance provider where you ask us to; send you product news, training dates and event invitations where you have agreed to receive them; improve our website, range and support; manage our relationship with the manufacturers we distribute for, including warranty registration and technical escalation; meet our obligations under Australian tax, consumer guarantee and product safety law; and protect our business, resolve disputes and enforce our terms of sale.

We do not sell personal information, and we do not disclose it to third parties for their own marketing.

6. Who we share it with

We disclose personal information only to organisations that help us run the business, and only so far as they need it: our website and e-commerce platform provider; our email marketing platform; payment processors and card or instalment providers; freight, courier and installation contractors; the manufacturers we distribute for, for warranty registration, technical support and parts; equipment finance providers where you have asked for an introduction; training partners where a course is delivered jointly; our IT, analytics, telephony and file storage providers; our accountants, insurers and lawyers; and a government agency, court or regulator where we are required or authorised by law to disclose it.

If the business or part of it is sold or restructured, customer information may be disclosed to the buyer, prospective buyers and their advisers, on a confidential basis.

7. We do not send your information overseas for marketing

We never sell your information, and we never send it overseas for marketing purposes. Some of it does leave Australia in the ordinary course of supplying and supporting your equipment. We are the Australian distributor for manufacturers in Canada and the United States, so warranty registration and technical escalation reach them, and some of the providers we rely on to run the business store or process information outside Australia. Before disclosing personal information to an overseas recipient, we take reasonable steps to satisfy ourselves that they handle it consistently with the Australian Privacy Principles, ordinarily through our contract with that provider.

8. Marketing, and how to stop it

If you have subscribed, bought from us, or given us your details so we could follow up, we may send product news, training dates, event invitations and offers by email or SMS. If you begin an order and do not complete it, we may send you a reminder. Every marketing message includes an unsubscribe link, and it works. You can also tell us to stop at any time by emailing info@aestheticea.com, and we will action it within five business days. Stopping marketing does not stop messages about an order, a warranty claim or a training booking you have made. We comply with the Spam Act 2003 (Cth) and the Do Not Call Register Act 2006 (Cth).

9. Cookies and tracking

A cookie is a small file placed on your device when you visit a website. This site uses cookies and similar technologies in three ways.

  • Necessary cookies make the site work. They keep items in your cart, keep you signed in, remember your region and protect against fraud during checkout. The site will not function properly without them.
  • Analytics cookies tell us how the site is used in aggregate, such as which pages are visited, which products are viewed and where visitors arrive from. We use this to improve the site.
  • Advertising cookies and pixels allow us and the social media and advertising platforms we run campaigns on to show you our products after you have visited us, and to measure whether those campaigns worked.

You can block or delete cookies through your browser settings, and most browsers let you refuse them by default. You can opt out of personalised advertising in the settings of the relevant advertising platform. If you block necessary cookies, the cart, sign-in and checkout will not work.

10. Links to other websites

This site links to manufacturer websites, finance providers, industry bodies and our social media profiles. We are not responsible for how those sites handle your information. Read their privacy policies before giving them your details.

11. Keeping information secure

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. Those steps include access controls, multi-factor authentication on our email and platform accounts, encrypted connections to this website, and limiting access to staff who need it. No system is completely secure and we cannot guarantee the security of information sent to us over the internet. If we suspect a data breach likely to result in serious harm we will assess it promptly and, where the Notifiable Data Breaches scheme in Part IIIC of the Privacy Act requires, notify those affected and the Office of the Australian Information Commissioner.

12. How long we keep it

Only as long as we need it for the purpose we collected it, or as long as the law requires. Tax law requires financial records to be kept for at least five years. Warranty and service records are kept for the working life of the equipment. Enquiries that do not proceed are kept for five years from last contact. When we no longer need information we destroy or de-identify it.

13. Access and correction

You can ask for a copy of the personal information we hold about you, and ask us to correct it if it is wrong, out of date, incomplete or misleading. Email info@aestheticea.com with enough detail for us to find the record and confirm who you are. We respond within thirty days. There is no charge, although we may charge a reasonable amount for retrieving a large volume of material and will tell you before we do. In limited circumstances the Privacy Act allows us to refuse access or correction. If we refuse, we will tell you why in writing and how to complain.

If you hold an account on this website, you can view and update many of your details by signing in.

14. Automated decisions

We do not use computer programs to make decisions about you that could reasonably be expected to significantly affect your rights or interests. Decisions about quotes, finance referrals, warranty claims and training places are made by our people.

15. Children

Our products are sold to businesses and qualified practitioners and this website is not directed at children. We do not knowingly collect personal information from anyone under eighteen. If you believe we have, contact us and we will delete it.

16. Making a complaint

If you think we have mishandled your personal information, tell us first. Email info@aestheticea.com with "Privacy complaint" in the subject line, setting out what happened. We acknowledge within five business days, investigate, and respond in writing within thirty days. If the matter is complex and we need longer, we will tell you why and agree a new timeframe.
